How to Use the Trip Itinerary Planner

Step 1: Name Your Trip

Start by customizing your trip name at the top of the page. Click on the default "My Amazing Trip" text and enter a descriptive name for your journey. This name will be used when exporting your itinerary to CSV or PDF formats, and in the AI summary analysis.

Step 2: Navigate the Tabs

Below the trip name, you'll find two tabs to organize your trip planning:

  • Itinerary List Tab: This is where you add, edit, and manage your activities. All your itinerary management features are here including adding activities, exporting, and viewing your list.
  • AI Itinerary Summary Tab: Get AI-powered insights about your trip including weather forecasts, crowd levels, timing recommendations, food suggestions, and more. Each category is rated with stars to help you quickly identify areas needing attention.

Step 3: Add Activities

In the Itinerary List tab, click the "Add Activity" button to create a new itinerary item. Fill in the following information:

  • Activity Title: Enter a clear, descriptive name for your activity (e.g., "Airport Check-in", "Museum Visit", "Dinner Reservation")
  • Date: Select the date using the date picker. Choose the specific day when this activity will occur. You can also manually enter a day label like "Day 1" if preferred.
  • Location: Use the Google Places autocomplete search to find and select locations. Simply start typing an address, landmark, or place name, and select from the suggestions. The location will be saved with coordinates for map visualization and nearby photo spots discovery.
  • Time: Use the time dropdown to select the hour, minute, and AM/PM for your activity.
  • Description: Add detailed notes, confirmation numbers, or any other relevant information about the activity. This appears with a notes icon in your itinerary.

Step 4: Discover Nearby Photo Spots

After adding activities with locations, you'll see a "✨ X Photo Spots Nearby" section appear for each day in your itinerary. This feature automatically finds photo-worthy locations within 2 miles of your activities:

  • Day-Level Aggregation: Photo spots are shown once per day, aggregating all nearby locations from all activities in that day to avoid duplicates.
  • Horizontal Carousel: Browse through photo spots in a beautiful horizontal scrolling carousel. Use the left/right arrow buttons or scroll to see more spots.
  • Spot Information: Each spot card shows a photo thumbnail, name, star rating, review count, distance from your activities, and address.
  • Add to Plan: Click the "Add to Plan" button on any photo spot to instantly add it as a new activity to your itinerary. The button changes to "Added" with a checkmark animation once added.
  • Smart Caching: Photo spots are cached to avoid unnecessary API calls when switching between tabs or refreshing the page.

Step 5: Get AI-Powered Trip Insights

Switch to the AI Itinerary Summary tab to get comprehensive AI analysis of your trip:

  • Generate Summary: Click the "Generate Summary" button to analyze your itinerary. The AI will provide insights across multiple categories.
  • Star Ratings: Each category is rated from 1 to 5 stars, helping you quickly identify areas that need attention. Lower ratings (1-2 stars) indicate critical issues, while higher ratings (4-5 stars) show areas that are well-planned.
  • Accordion Layout: Categories are organized in collapsible accordions. The accordion title shows a brief summary and star rating, so you can quickly scan and expand only the categories you want to review in detail.
  • Categories Analyzed:
    • Overall Summary: Overall trip quality and main concerns
    • Timings: Activity scheduling and time conflicts
    • Crowd Levels: Expected crowds and peak times
    • Weather: Weather expectations and seasonal considerations
    • Upcoming Events: Festivals, holidays, or events affecting your trip
    • Age Suitability: Recommendations for different age groups
    • Accessories: Recommended gear and accessories
    • Things to Carry: Essential items including weather-specific items like umbrellas and sunscreen
    • Foods to Try: Separate recommendations for vegan and non-vegan options
    • Things to Avoid: Safety concerns and areas to be cautious about

Step 6: View Your Itinerary Map

Once you've added activities with locations, an interactive Google Map will automatically appear below the banner. The map displays all your itinerary locations with numbered markers matching the sequence in your list. A route line connects the locations in order, making it easy to visualize your trip path. Click on any marker to see activity details including the title, location, and time.

Step 7: Organize Your Itinerary

Activities are automatically numbered sequentially and grouped by day. You can easily reorganize them using drag-and-drop functionality. Simply click and hold on any activity card, then drag it to your desired position in the list. The sequential numbers will update automatically, and the map route will reflect the new order.

Step 8: Edit or Delete Activities

To modify an existing activity, click the edit icon (pencil) on the activity card. You can update any field including the location. Make your changes and save. To remove an activity, click the delete icon (trash). Changes are saved automatically and will update the map if locations are involved. The time, edit, and delete icons are conveniently located at the top right of each activity card, aligned with the activity title and location.

Step 9: Export Your Itinerary

In the Itinerary List tab, click the download icon to access export options:

  • Export as CSV: Download your itinerary as a CSV file that can be opened in Excel, Google Sheets, or any spreadsheet application. Includes all activity details including locations. Perfect for further editing or data analysis.
  • Export as PDF: Generate a beautifully formatted PDF document of your itinerary with the frshpose logo, subtitle, banner with QR code, and all your activities. The PDF includes location markers and notes icons matching the main page design. Ideal for printing, sharing, or keeping as a digital reference during your trip.

Frequently Asked Questions (FAQs)

How do I add multiple activities for the same day?

Simply click "Add Activity" multiple times and select the same date for each activity. The planner will automatically group activities by date and display them in chronological order based on the time you set for each activity.

Can I change the order of activities?

Yes! You can reorder activities by dragging and dropping them. Click and hold on any activity card, then drag it to your desired position. The new order will be preserved in your itinerary and reflected in exported files.

How do I add locations to my activities?

When adding or editing an activity, use the location search field below the activity title. Start typing an address, landmark, or place name, and Google Places will provide autocomplete suggestions. Select a location from the dropdown, and it will be saved with coordinates. Locations appear in your itinerary list with a location marker icon and are displayed on the interactive map.

What is the itinerary map feature?

The itinerary map automatically appears when you add activities with locations. It shows all your locations on an interactive Google Map with numbered markers (matching the sequence in your list) and a route line connecting them in order. What are Nearby Photo Spots?

The Nearby Photo Spots feature automatically discovers photo-worthy locations within 2 miles of your activities. These spots are aggregated at the day level (not per activity) to avoid duplicates. You'll see a horizontal scrolling carousel with navigation arrows showing tourist attractions, parks, museums, and other scenic locations. Each spot displays a photo, rating, distance, and an "Add to Plan" button. Click "Add to Plan" to instantly add the location as a new activity to your itinerary. The feature uses smart caching to avoid unnecessary API calls when switching tabs.

How does the AI Itinerary Summary work?

The AI Itinerary Summary uses Google's Gemini AI to analyze your trip and provide comprehensive insights. Click "Generate Summary" in the AI Itinerary Summary tab to get AI-powered analysis including overall feedback, timing recommendations, crowd level estimates, weather expectations, upcoming events, age suitability, accessory recommendations, packing lists, food suggestions (both vegan and non-vegan), and safety tips. Each category is rated with stars (1-5) to help you quickly identify areas needing attention. Categories are organized in collapsible accordions - expand only what you need to review.

What do the star ratings mean in the AI Summary?

Star ratings (1.0 to 5.0) help you quickly identify areas that need attention. Ratings of 1-2 stars indicate critical issues or poor planning in that category. A 3-star rating means the category is acceptable but could be improved. Ratings of 4-5 stars indicate excellent planning or optimal conditions. Focus on expanding and reviewing categories with lower ratings to optimize your trip. The overall summary also has a rating that gives you a quick sense of your itinerary's overall quality.

What file formats can I export my itinerary to?

You can export your itinerary in two formats: CSV (Comma-Separated Values) for spreadsheet applications like Excel or Google Sheets, and PDF (Portable Document Format) for printing or sharing. Both formats include all your activity details including dates, times, titles, locations, and descriptions. The PDF also includes the frshpose logo, banner with QR code, and styled formatting.

Is my itinerary data saved automatically?

Your itinerary is stored locally in your browser's session. As long as you don't clear your browser data or close the tab, your itinerary will remain available. For long-term storage, we recommend exporting your itinerary as a CSV or PDF file.

Can I use this planner for multi-day trips?

Absolutely! The Trip Itinerary Planner is designed to handle trips of any duration. Simply select different dates for your activities using the date picker. Activities are automatically organized by date, making it easy to plan extended journeys.

What information should I include in the activity description?

Include any relevant details that will help you during your trip, such as: phone numbers, confirmation codes, reservation numbers, directions, special instructions, contact information, or notes about what to bring or prepare for the activity. Note that addresses should be added using the location field, which will display on the map.

Can I edit an activity after creating it?

Yes, you can edit any activity at any time. Click the edit icon (pencil) on the activity card to open the edit form. Modify any field (title, date, time, location, or description) and save your changes. The updated information will immediately appear in your itinerary and on the map if the location changed.

Is this trip planner free to use?

Yes, the Trip Itinerary Planner is completely free to use. There are no registration requirements, no subscription fees, and no limitations on the number of activities you can add. Simply open the planner and start organizing your trip.

Can I use this on mobile devices?

Yes, the Trip Itinerary Planner is fully responsive and works on all devices including smartphones and tablets. The interface adapts to your screen size, making it easy to plan and manage your itinerary on the go. The photo spots carousel supports touch scrolling, and all features work seamlessly on mobile.

How do I add photo spots to my itinerary?

After adding activities with locations, you'll see a "Photo Spots Nearby" section for each day. Browse the horizontal carousel of photo spots, and click the "Add to Plan" button on any spot you want to visit. The spot will be automatically added as a new activity right after the nearest activity in your itinerary. The button will change to "Added" with a checkmark to confirm.

Do I need an API key for the AI Summary feature?

The AI Summary feature requires a Google Gemini API key to be configured on the server. If you're using this tool, the API key should already be set up. If you encounter errors when generating summaries, contact the administrator. The feature uses Google's Gemini AI to provide comprehensive trip analysis.

Why are photo spots shown per day instead of per activity?

Photo spots are aggregated at the day level to avoid showing the same location multiple times if it's near multiple activities. This provides a cleaner, more organized view of all nearby photo opportunities for each day of your trip. The system automatically deduplicates spots and shows the closest instance of each location.

Can I see photo spots without adding them to my itinerary?

Yes! The photo spots carousel is for browsing and discovery. You can scroll through all the nearby spots, see their ratings, distances, and photos without adding them. Only click "Add to Plan" when you find a spot you actually want to visit. The carousel includes navigation arrows and supports scrolling for easy browsing.

  • Add locations for all activities: Use the Google Places search to add locations to your activities. This enables the interactive map feature, nearby photo spots discovery, and helps you visualize your route and distances between stops.
  • Use the AI Summary to optimize your trip: Generate an AI summary early in your planning process. Pay attention to categories with lower star ratings (1-3 stars) and expand those accordions to see detailed recommendations for improvement.
  • Discover photo spots from your activities: After adding activities with locations, check the "Photo Spots Nearby" section for each day. Browse the horizontal carousel to discover scenic locations you might want to visit. Add interesting spots directly to your itinerary with one click.
  • Use the map to optimize your route: Review the itinerary map to see the sequence of your locations. If the route seems inefficient, reorder activities using drag-and-drop to create a more logical path.
  • Add buffer time between activities: Account for travel time and unexpected delays when scheduling activities, especially when locations are far apart. The AI Summary's "Timings" category will help identify scheduling conflicts.
